How to Automatically Confirm COD Orders on WhatsApp in Egypt
If you sell online in Egypt, most of your orders are probably cash on delivery (COD). And if you've been doing it for a while, you already know the rule: you don't ship an order until you've confirmed it.
At 20 orders a day, a person with a phone can handle that. At 2,000 orders a month, it becomes a full-time job — or three. This guide explains what COD confirmation is, why it matters so much in Egypt, and how to run it automatically on WhatsApp.
What is COD order confirmation?
COD confirmation is the step between "a customer placed an order" and "we handed it to the courier." Before shipping, you contact the customer to check that:
- they actually placed the order (not a mistake, a prank, or a competitor),
- the address and phone number are correct,
- they still want it, at that price, with that shipping fee.
Only confirmed orders go out. Cancelled ones never reach the courier.
Why Egyptian stores confirm every COD order
Because an unconfirmed COD order is a gamble you pay for either way:
- Returns cost money twice. You pay shipping out and shipping back, and the product sits in a van for days.
- The customer paid nothing upfront. Placing an order costs them one tap, so some orders are impulse buys they've already forgotten.
- Wrong details are common. A missing landmark, a wrong digit in the phone number, or the wrong governorate means a failed delivery.
- Courier performance depends on it. A high refusal rate hurts your relationship with the courier and your cash flow.
Confirming first is how Egyptian stores keep return rates under control. The problem is the how.
The old way: phone calls and manual messages
Most stores confirm by calling, or by copying each order into a personal WhatsApp chat. That means:
- a team (or you) spending hours every day on calls,
- customers who don't answer unknown numbers,
- no record of who confirmed what,
- and, again, a manual update in Shopify for every single order.
It works — until volume grows. Then confirmation becomes the bottleneck that delays shipping.
Why WhatsApp is the right channel
Egyptian customers already live on WhatsApp. A message is less intrusive than a call, they can answer when they're free, and the reply is written down. But to do this automatically and at scale, you can't use the regular WhatsApp app on a phone. You need the WhatsApp Business API.
What the WhatsApp Business API gives you
The WhatsApp Business API (Meta's Cloud API, usually accessed through a provider) is the official way for businesses to send messages from software instead of a phone. For COD confirmation it matters because of three things:
- Approved message templates. A business can start a conversation with a customer only using a template Meta has approved — for example: "Hi {{name}}, we received your order #{{number}} for {{total}} EGP. Please confirm."
- Automation. Messages go out the moment the order arrives, 24/7, with no one pressing send.
- Interactive buttons. The template can carry reply buttons, which is what makes confirmation one tap.
It also keeps your number safe: sending bulk messages from a normal WhatsApp account is the fastest way to get it banned.
Confirmation buttons: one tap instead of one call
This is the part that changes everything. Instead of asking the customer to type "yes", the message has buttons:
Your order #1042 — 1,250 EGP Delivery to: Nasr City, Cairo
[ ✅ Confirm order ] [ ❌ Cancel ]
The customer taps once. The system reads which button they pressed and acts on it. No interpretation, no typos, no one reading replies all day.
You can also add a follow-up if there's no answer after a few hours, or a "Change address" option that hands the chat to your team.
Connecting it to Shopify
A confirmation is only useful if your store knows about it. With a Shopify integration the flow becomes:
- A customer places a COD order on your Shopify store.
- Shopify notifies the confirmation system instantly (through a webhook).
- The WhatsApp confirmation message goes out with the order details filled in — name, order number, total, products.
- The customer taps Confirm or Cancel.
- The result is written back to the order in Shopify.
Nobody copies anything between tabs.
Order status updates: closing the loop
What happens after the tap is what actually saves you time:
- Confirmed → the order is marked as confirmed (for example with a tag in Shopify) and is ready to go to the courier.
- Cancelled → the order is cancelled in Shopify, so it never gets packed or shipped.
- No answer → it stays pending, so your team can call only those few customers.
Your team's job shrinks from "contact every customer" to "handle the exceptions."
Putting it together: the automation
A complete COD confirmation automation looks like this:
| Step | What happens | Who does it |
|---|---|---|
| Order placed | Shopify sends the order | Automatic |
| Message sent | WhatsApp template with buttons | Automatic |
| Customer replies | Taps Confirm or Cancel | Customer |
| Order updated | Tagged confirmed or cancelled | Automatic |
| Exceptions | No reply or change requests | Your team |
When choosing a tool, check that it uses the official WhatsApp Business API, supports reply buttons, writes back to your store, and lets you see every confirmation in one place.
One implementation: Bosla and Bosla One
We built this at Bosla, because it was the first thing Egyptian sellers asked us for.
Bosla One is a Shopify app focused on exactly this flow. You install it on your store, pick a confirmation message, and it:
- sends a WhatsApp confirmation with Confirm / Cancel buttons for every new COD order,
- updates the order in Shopify based on the customer's tap,
- sends from a ready WhatsApp number, so you don't have to go through Meta's setup yourself,
- shows you how many orders were confirmed and cancelled.
It can also remind shoppers who left their cart, and offer an extra product after a confirmed order, added to the same parcel.
Bosla is the full workspace for stores that need more than confirmations: a unified inbox for WhatsApp, Instagram, Messenger and Telegram, an AI agent that replies to customers and takes orders, automations you build yourself, campaigns and analytics — for Shopify stores and for sellers who take orders through DMs.
If you're confirming orders by phone today, book a demo and we'll show you the flow on your own orders.
Frequently asked questions
Do I need a WhatsApp Business API account? Yes, to automate confirmations safely. With Bosla One you can use a ready number instead of setting one up yourself.
Can the message be in Arabic? Yes. Templates can be written in Egyptian Arabic, English, or both.
What if the customer doesn't reply? The order stays pending. You can send a reminder or have your team call just those customers.
Does it work if I don't use Shopify? Bosla works with other store platforms and with orders you enter by hand. Bosla One is Shopify-only.
